Workflows let you automate order actions using rules you set. Use them to standardize operations and reduce manual work across your order lifecycle.

Why activate Workflows?

Workflows help you:
  • Save time on repetitive tasks
  • Tailor your order fulfillment to your own rules (flyers, B2B instructions, etc.)
  • Reduce mistakes by applying the same rules every time
  • React faster to order situations (e.g., returns, changes, exceptions)

How does it work?

A workflow is a simple rule:
  1. When something happens on an order • Trigger
  2. If conditions match (optional) • Condition
  3. Then one or more actions run automatically • Action

What workflows can be created?

Examples of actions you can automate:
  • Add a gift
  • Replace products inside an order
  • Convert an order to B2B or B2C
  • Change B2B instructions
  • Resolve a backorder
  • Setting which marketing inserts should be used for matched order
  • Cancel order
  • Replace order products
  • Refund a return
More actions are coming. If you can’t find a condition or action you need, contact our support team.

How to activate the feature?

The feature is currently in beta. Ask us to be granted access.

After that, go to Workflows in your Bigblue app, then create your first workflow and turn it on when ready!


Q&A

Will it apply to all orders? Only to orders match your trigger filters and rules
Can I test before enabling? We'll soon add more capacities to Workflows. Currently, use a limited condition first (small scope, like only an order with your personal email address), then expand.

Can it run multiple times on the same order? Yes—if the order matches the workflow rules again, it can run again.

Can I turn a workflow off? Yes—disable it anytime.
