Returns | Monitor and process returns

Follow this guide to understand how to access your returns list with one click, track their resolution statuses and activate returns' notifications 🤩

The returns’ to-do list

To efficiently track your returns and refunds, go to Orders > Returns.

Once you’re there, you can easily view and filter your returns, notably using those fields:

  • Returned by: either by Customer or Carrier (following transport issues per say)
  • Received: date at which the return was received and controlled at the warehouse
  • Items: number of items, with a red alert symbol (🔺) in case of an issue at quality control
  • Request: either Exchange, Store credit or Refund depending on your return portal setup
  • Status: those in Action required need your attention, more details in the next section below

Resolution status of returns

Open Returns created or in process not requiring an action
Closed

Returns where no action is needed anymore

  • Automated settlement like store credit or exchanges
  • Detected as being appropriately refunded on Shopify
  • Didn't need any refund as the value of the returned items was €0
  • Were manually marked as closed

Note: We automatically close returns two months after their creation.

Action required Returns that were received and controlled at the warehouse and need your attention. Either use the Refund button (for Shopify orders) or mark the order as Closed.

Note: Each return also has a shipment status that tracks the physical progress of the return (Created, Shipped, Returned).

Refund a return from the Bigblue order page (Shopify)

Shopify orders can be refunded directly from the Bigblue order page.

The refund amount is pre-calculated, taking into account the returned items, the shipping fees and your return fees (if applicable). After reviewing the amount, and adjusting it if needed, you can simply validate to trigger the refund on Shopify. The return’s resolution status automatically shifts to Closed.

Manually close a return

To close a return, click on the return you're interested in, click on the Close return button and complete the closing details (manual resolution method and optional notes) to track your actions.

Get notified about returns

You can use email, browser, or Slack notifications to get informed about your returns. To activate the notifications, go to your notification settings on the Bigblue App.
